Key Responsibilities:
  • Answer and direct phone calls for NYSO main line and for select individuals
  • Handle all deliveries for NYSO
  • Mail - distribute accordingly and run all letters to post box once a day
  • Greet visitors
  • Provide administrative support (calendar/scheduling and day-to-day office management)
    • Manage calendar for conference rooms
    • Manage placement for employees temporarily working from NYSO
    • Manage select individuals' calendars
  • Order office supplies
  • Ensure all open offices are equipped for visitors
  • Make sure conference rooms are neat - prior to each meeting set up the room how the meeting organizer requests and after each meeting push chairs in and shut off any equipment that was used including lights
  • Regularly confirm equipment is functioning throughout the office and in conference rooms
  • Handle catering or other needs for any meetings

Office Maintenance
  • Make sure all lights are working- (call facilities or building management and schedule repairs)
  • Schedule service calls as need for Copier and mail machine
  • Double check each morning that the cleaning people have come in and cleaned the night before- General appearance of space
  • Manage relationships with the facilities, mailroom and IT contacts at HQ to manage any equipment or connectivity issues and provide updates to the NY office personnel for ongoing issues

Pantry/Shared space
  • Make sure pantry is clean
  • Make sure equipment is in operational order
  • Organize pantries
  • Order kitchen supplies
  • Run and empty dishwasher weekly

Qualifications:
  • Computer proficiency: Outlook, Word, Excel
  • Strong organization and coordination skills
  • Attention to detail
  • Strong communication and project management skills
  • Team-oriented; willingness to pitch in and help out
  • Respectful, courteous, responsive, friendly, professional
