Description

Penn States Office of University Development is seeking an Administrative Support Coordinator 3 (Development Assistant) to support the fundraising and stewardship efforts of the development and alumni relations staff at 15 Commonwealth Campuses. This central post reports directly to the Executive Director of University Development for Commonwealth Campus Programs and works directly with the Division of Development and Alumni Relations management and leadership team. The individual in this role serves as the Commonwealth Campus' liaison with the central University development offices, ensures proper fund-raising policies and procedures are consistently followed by all University development campus staff and is instrumental in securing/managing donor funds and activities from a central administration perspective to satisfy the overall mission and core values of the Division of Development and Alumni Relations at The Pennsylvania State University. The principal duties will include attending and assisting with various development activities/training across the Commonwealth; assist and work with campaign leadership such as campaign chairs; provide support to assigned Commonwealth Campus alumni/volunteer chairs and committees; recommend and advise on University development procedural protocols to assist all campus development directors in the identification, cultivation, solicitation and stewardship of major gift donors; provide support in establishing prospect lists and in developing cultivation and solicitation strategies, assist campus Chancellors and Directors of campus development in establishing annual and campaign fund raising goals, monitor and track reports of contact, solicitations and gifts for the Commonwealth Campuses, review/prepare solicitations, guidelines, statement of intent and proposal documentation for presentation and signature to prospective donors; review, edit and approve proposals; prepare and analyze statistical reports. Assist in the design, development, and production of communication tools such as forms, agendas, proposals and programs; supervise the work and daily operations of the central Commonwealth Campuses Development office and staff. The responsibilities of this position also include providing training and mentoring to new and existing directors of campus development, Associate/Assistant Directors and support staff at the Commonwealth Campuses, including formation of training needs, developing, implementing and conducting conferences, retreats and specialized training sessions on the use of University Development procedures, computer systems and processes; developing training materials, templates, forms and presentations; travelling to various campus locations as needed, to train and advise Directors of campus development and campus support staff on development processes, procedures and stewardship. Typically requires an Associate's degree or higher plus three years of related experience, or an equivalent combination of education and experience. Knowledge of MS Access, Excel, PowerPoint and Word is highly desired. Familiarity with University systems and forms such as, AWA, eDDS, Lotus Notes and eSteward is preferred. The successful candidate must have exemplary oral and written communication skills, attention to detail and good judgement, excellent organization skills and demonstrate a genuine appreciation in working with diverse audiences are vital requirements, as well as the ability to work in a team environment.
