As an ambassador of Cirque du Soleil, you will be asked to assist the Vice President Global Merchandise, Food & Beverage Operations, and supporting the Director Global Strategy Social Media and Content and the Chief Officer Marketing while in the NY office. You will be a key element of connectivity and efficiency between ever traveling senior executives and Montreal, Las Vegas and NY based teams.
You will be a champion at: Independently carrying out advanced, complex and diverse administrative and secretarial tasks; Organizing meetings and committees, preparing agendas, taking notes during meetings and typing up minutes; Acting as a liaison with the organizations various services and divisions; Laying out, drafting and preparing presentations intended for committees and management; Tracking and analyzing the departments administrative expenses; Organizing and following up on travel arrangements; Assisting in various daily tasks (answering telephone calls, schedule meetings, reserving conference rooms); Coding certain departmental invoices; Ensuring certain budgets are respected; Proofreading texts and drafting certain messages for internal circulation; Participating in the integration of new team members; Carrying out any other related tasks (vacation schedule, point of contact list, organizational charts, time sheet management, etc.). Assisting the buying team with competitive shopping, sample procurement and following up with suppliers as needed Assisting merchandising and F&B with promotional and marketing initiatives Pulling and compiling reports for VP Global Merchandise, Food and beverage Operations as requested
You would ideally have: Secretarial training; college level diploma Experience working in Entertainment Business or Retail Minimum five years' experience in a similar position; Experience working with Senior Executives remotely, where Senior Executive travels extensively and splits time between two offices. Ability to manage priorities and work as part of a team, sense of initiative, discretion, self-reliance, organizational skills and tact; Availability, punctuality and ability to work under pressure; Excellent communication skills. Organizational skills, thoroughness and consistency; Extensive knowledge of Microsoft Office and Visio; Fluency in English, both spoken and written, French is a plus;
