Job duties include, but are not limited to:
Providing administrative support to Director, Assistant Directors, and professional staff with professionalism, attention to detail, tact, diplomacy, discretion, and sound judgment;
Scheduling appointments and maintaining calendars;
Coordinating and arranging travel, including travel authorizations and expense reports via Concur;
Compiling and preparing background material and agendas related to meetings, events and travel; sharing and following-up as appropriate; maintaining files;
Independently composing correspondence on a variety of topics requiring judgement, originality, and knowledge of issues involved;
Gathering information and drafting presentations, documents, communications, and other materials as directed;
Preparing data for fraternity and sorority life reporting, including academic information, community service, philanthropy, and conduct history;
Preparing financial documents such as payment requests, mileage reimbursements, and credit card reconciliations; understanding budgets and supporting stewardship of charitable contributions;
Utilizing various technology to schedule events, meetings, and activities;
Meeting with stakeholders to determine logistical needs for events and meetings;
Developing and maintaining trusted working relationships with internal and external partners;
Providing administrative support for meetings and events to include reserving space, purchasing supplies, managing invitations and RSVPs, ordering catering, technology set-up, and preparation and distribution of materials;
Providing support for front desk staff; open and close office, greet and direct visitors, answer and route phone calls, receive deliveries, validate parking, operate/troubleshoot office machines, etc.;
Operating general office equipment and technology; and
Performing other duties as assigned.
Work Hours: 8:00am-5:00pm Monday through Friday with extended hours, as needed, for evening and weekend events. Work location is primarily at the Tempe Campus; however, incumbent may be required to travel to other campuses to perform work.
An Associate's degree in Business Administration or related field AND three (3) years of administrative secretarial experience; OR, Bachelor's degree in Business Administration or related field AND one (1) year of administrative secretarial experience; OR, Five (5) years of administrative secretarial experience; OR, Any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.
Experience working in a university setting in an administrative role
Experience working with and supervising diverse students and strong cultural competency
Demonstrated experience establishing and maintaining effective working relationships with students, staff, and faculty; building community partnerships; program development, coordination, and implementation; promoting university student programs and services; effective presentation and public speaking skills; supervising student staff
Demonstrated knowledge of: budgeting practices, event management, logistics, strong organizational skills, college/university student organization advising techniques; implementation and evaluation; developing and implementing student programming/activities in a higher education setting, including workshops, presentations, and events
Experience utilizing various types of technology to include Microsoft Office applications (i.e., Word, Excel, PowerPoint, Outlook) and web-based data systems
Evidence of excellent written and verbal communication skills
Professionally represent department/program
Sit or stand for prolonged periods of time
Work collaboratively across various departments within the University as well as with diverse populations and groups
Communicate regularly with students, staff, guests, and various university stakeholders
Use computers effectively - including inputting, reviewing and retrieving information, extended periods of viewing screen, and using mouse and keyboard
